A customer brings goods back. Your stock must go up, the customer's account must go down, and, if you report sales to FBR, the return has to be reported too. Doing that by hand on three different screens is how mistakes and missing credit notes happen. What is a credit note for a sales return?
When you sell something, the invoice you send to FBR says: this much was sold, with this much tax. When the customer returns some or all of it, that sale is partly reversed. A credit note is the document that records the reversal. It points at the original invoice, lists the goods that came back, and carries the tax that goes with them.

Before you start: what you need
- FBR is set up in PaakiShop: POS ID, NTN/STRN and tax office are entered, and FBR's small local service runs on the counter PC. See the setup checklist.
- The original sale was sent to FBR. A credit note needs an original invoice with an FBR number. If it was not sent yet, send it first.
- Product tax codes: each product line needs its PCT/HS code, or a default set in FBR Setup. A line without one is blocked with a clear message.
Step by step: from invoice to FBR credit note
- Open the invoice and click Sales returnGo to your invoices list. Every row has a green Sales return button, and the invoice page has the same button in its header. One click opens the new return form, already filled with the customer, shop, tax and every item still returnable.
- Set what is actually coming backFor a part return, change the quantity or remove lines. Goods already returned against the same invoice are taken off automatically, so you cannot return the same bag of rice twice by accident.
- Choose how the customer is settledPay the refund in cash or by bank transfer, or leave it unpaid so the amount is credited to the customer's account. Either way the return is linked to the invoice it came from.
- Save the returnSaving puts the goods back into stock in the right shop or warehouse and credits the customer ledger. Sales and the cost of the returned goods move in your accounts at the same moment.
- Send the credit note to FBROpen the saved return. The FBR credit note panel has a Send to FBR button. It sends the return to the FBR software on your counter PC, and FBR answers with a credit note number.
- Print the FBR receiptThe FBR number, QR code and FBR logo are saved on the return. Press Print FBR receipt (80 mm or 58 mm roll) for the credit-note receipt, which shows the original invoice number.
What FBR receives
The credit note carries the same kind of data as the sale, with the direction reversed:

Item lines always add up exactly to the document total, so there is no rupee-and-paisa drift between what you print and what FBR holds.
What updates when you post a return
This is the part owners care about most. One saved return updates everything, and FBR reporting only adds a status on top:

If FBR or the internet is down, nothing is lost: the return is still saved and accounted, shows as not yet sent with the reason, and you send the credit note when the connection is back. More on that in what to do when an FBR invoice will not send.
Safety checks that protect you
PaakiShop refuses to send a credit note that FBR would not make sense of, and tells you why in plain words:
- Return not linked to an invoice: FBR needs the original sale. Edit the return and select its invoice.
- Original not sent to FBR yet: send the sale first, then the return.
- Return bigger than the sale: all credit notes of one invoice are added up. They can never exceed the amount FBR was told was sold.
- Different POS: a return is reported under the same POS ID as its sale.
- Already sent: a return with an FBR number is never sent twice. If an answer was lost on the way, PaakiShop warns you before allowing a second attempt, because the FBR software can issue a new number for a repeated send.
Part returns and exchanges
Part return. Keep only the lines and quantities that are coming back. The credit note covers just those, and the tax is worked out for that part. A second return later on the same invoice starts from what is still left.
Exchange. Treat it as a return of the old item and a new sale for the new one. Post the return as above, then bill the replacement as a normal invoice. Both are reported to FBR, and the stock and ledger follow. We compare returns, refunds and exchanges in this guide.
Track returns in the FBR register
Open the FBR register to see every sale and every credit note, day by day. Filter by type, date, shop/POS and environment. Returns show as negative amounts and the totals are net of returns, so the sales tax figure for the period is the one that matters. Export to CSV for your accountant; it has a Type column and an Against-invoice column.
